Privacy notice

Van-Vert (vanvert.co) is a pilot licence conversion service based in India. We help pilots who hold a foreign licence convert it to an Indian DGCA licence. For any privacy question, or to use the rights below, write to hello@vanvert.co.

• Account: name, email address, date of birth, country, and a profile photo if you add one. Passwords are handled by Google Firebase Authentication; we never see them.
• Application: licence type, flight logs and hours, status history, and reviewer notes and feedback.
• Documents you upload: passport, licences, medical certificates, logbooks, police clearance, RTR/FRTOL and similar documents DGCA requires.
• Technical: IP address and device information for security and rate-limiting, and a record each time staff open one of your documents.
• Analytics, only if you allow it: pages visited and how the site is used, through Google Analytics. See the cookie policy.

To assess and process your conversion and file it with DGCA, including on eGCA. To contact you about your case. To keep the service secure. We rely on the consent you give when you sign up, and you can withdraw it at any time (see “Your rights”).

To save time, software reads some fields from your uploads: logbook hours (Google Document AI) and document expiry dates and exam results (Google Gemini). These readings are suggestions only. A person at Van-Vert checks them, and no decision about you is made by software alone.

• Google Cloud and Firebase: hosting (EU), sign-in, database and file storage. Uploaded documents are stored in the United States.
• Google Document AI and Gemini: reading logbook hours, expiry dates and exam results from your uploads.
• Google reCAPTCHA: telling real visitors from automated abuse.
• Resend: sending account and application emails (EU).
• Firebase Cloud Messaging: browser notifications, only if you turn them on.
• Google Analytics: usage statistics, only if you allow analytics cookies.
• Sentry: error reports, with personal details stripped before they are sent.

We share your application with DGCA, with the Indian flight training organisation involved in your conversion flying, and with the contractor who transcribes your logbook into DGCA's e-logbook (they see your logbook and flight records only). We do not sell your data or use it for advertising.

We keep your application and documents while your conversion is in progress, and afterwards for as long as we need them to answer questions from DGCA or to meet a legal obligation.

Deleting your account in Settings removes your sign-in. To have your application and documents deleted as well, write to hello@vanvert.co. Documents already filed with DGCA are kept under DGCA's own rules.

You can ask to see, correct or delete your personal data, withdraw your consent, or nominate someone to act for you. Write to hello@vanvert.co and we will reply as soon as we can.

Your files are private. Staff open them only through short-lived links, and every view is logged. Access is role-based. Data is encrypted in transit and at rest with Google's standard encryption. If a breach affects your data, we will tell you. More detail on the security page.
